Six Reasons to Keep Using Digital Signatures with E-Invoicing

Tuesday, December 27th, 2011

I just came across an interesting blog post by Friso De Jong that offers six reasons why we should use digital signatures forever. De Jong writes about the new EU e-invoicing legislation that is set to go into effect in 2013, and which reportedly “includes no formal requirement to use technical elements like advanced electronic signatures,” or digital signatures.

But in De Jong’s mind, digital signatures have their own “intrinsic value,” and people who use electronic invoicing should keep using them. Why? De Jong explains that, for one, digital signatures support a sense of responsibility and a positive reputation. A digital signature, he writes, “shows that you are a professional and that you can be verified through the credentials in the digital signature. Adding a digital signature to an e-invoice is also an extension of the service you offer customers or clients as you help them comply with their fiscal requirements.” See the rest of De Jong’s reasons for maintaining digital signature use in his post.

Digital Signatures with Document Management: Saving Time & Money

Thursday, December 15th, 2011

The holiday season is upon us once again, and if you’re anything like me, that means you’ve got two things at the top of your mind: time, and money. Whether we’re talking about finding the time (and the money) for all that holiday shopping, or growing the money pile by closing those last-minute year-end deals on time, it seems time and money are of the essence now more than ever.

For FileHold Systems this holiday season, time and money translates to helping people save both. The president of the company, Larry Oliver, even said so himself in a recent press release, where he pointed to the need for organizations to save paper, time, and money as a factor in FileHold’s decision to add a digital signature component to its electronic document management solution. The new addition enables users to save “precious time and money” by signing documents with the click of a mouse rather than needing to print, route, scan, and manually archive them. Check out the press release to learn more.

SANOFI Saves Millions with Online Collaboration and Digital Signatures

Wednesday, August 10th, 2011

Don’t you just love success stories? I do. For starters, they’re the best evidence that – despite any suspicion or skepticism – some things actually work. And for people or organizations that are on the fence about making moves like going paperless or, say, adopting digital signatures, success stories can provide real-life proof for how things work and what benefits they provide.

For SANOFI, a multinational pharmaceutical company, very good things are happening thanks to their adoption of a clinical trial portal equipped with digital signatures – and now you can read about it in the SANOFI case study provided by NextDocs. By going digital in their management of global drug trials, SANOFI eliminated the profusion of added costs, wasted staff time, and project delays that were incurred by the reliance on paper. According to the case study, “the new solution…is expected to save an estimated 10,000 working days,” which cost the organization $9 million in time that was wasted on managing documents. Now those are some serious savings. If you’re interested in learning more about digital signatures in clinical operations, check out this 2-minute video. Enjoy!

DOE Announces $27 Million to Reduce Costs of Solar Energy Projects

Sunday, June 12th, 2011

It looks like healthcare isn’t the only area where the Obama administration is making efforts to automate paper-based processes. A recent article on the Department of Energy website discusses funding available through the SunShot Initiative which aims to “make solar energy cost-competitive with fossil fuels within the decade.” This initiative, which makes available more than $27 million in funding, could make the implementation of solar energy systems easier while also addressing financial challenges around deployment.

Part of the funding supports the $12.5 million Rooftop Solar Challenge, which will “challenge and encourage cities and counties to compete to streamline and digitize permitting processes.” According to the article, these types of process improvements along with innovations in IT can cut paperwork, create significant cost savings for solar energy systems, and increase U.S. competitiveness in the global solar industry. Of course, if digital signatures played a role in those digitizing initiatives, processes could move along much more quickly and smoothly, I’d say.

Going Paperless, Going Green

Monday, May 2nd, 2011

I recently came across a great column called “Katrina’s Corner: 30 Days of Green” on the Montville, CT Patch, an online publication that provides community-specific news and information about events, local businesses and more. In light of Earth Day, which happened on April 22nd, writer Katrina Cribley decided to dedicate the entire month of April to “30 Days of Green” and provide environmentally-friendly tips every day.

In her “Day 28: Go Paperless” post, Cribley gives tips for reducing paper clutter in the home or office, thereby also reducing waste and increasing efficiency. Quoting New American Dream, she shares that “more than 100 million trees’ worth of bulk mail arrive in American mail boxes each year — that’s the equivalent of deforesting the entire Rocky Mountain National Park every four months.” Crazy, huh? Her post goes on to offer a variety of ways to cut paper, such as opting out of junk mail, catalogs and other unwanted paper that arrives in the mail. She also gives tips on going paperless in ways like switching to electronic billing. If you’d like to read more, check out Cribley’s column. Enjoy!

Going paperless in new and impressive ways

Thursday, March 24th, 2011

Last week, I ordered a wrist watch online (in a super cool ’80s style, too!), and I was really surprised at how positive customer reviews were about the lack of paper instructions. To learn how to set my new watch, I’d have to go online — Who knew people would react so well to this type of paperless initiative?

On a similar note, EA Sports, a developer of sports video games, has recently announced that it will no longer provide paper manuals, a move similar to Ubisoft’s switch to paperless last year. Both companies now offer instructions to their video games within the games themselves. While Ubisoft claimed the change would allow them to provide larger manuals, they also noted that they used an average of two tons of wood and 15,000 gallons of water per year to create the paper manuals. EA Sports’ spokesman Rob Semsey was reported saying that their effort is intended to “support more environmentally friendly production of games.” I give both these companies a thumbs-up!

Digital Signature Legal Compliance – On-demand Presentation

Thursday, March 17th, 2011

If you haven’t noticed the trend toward electronic operations lately, you haven’t been looking. Organizations left and right are adopting business automation tools like MS SharePoint® with the aim of reducing paper, streamlining processes and saving money. Yet some people continue to think that wet-ink signatures, which can seriously delay process times, are more trustworthy and legally-enforceable than digital ones. I suppose without the proper resources, it’s simple to see why that’s the case.

Fortunately, ARX has put together a complimentary on-demand presentation on digital signature legal compliance. It’s a comprehensive, easy-to-read resource that covers everything you need to know about digital signature law and best practices for compliance, as well as electronic signature and digital signature legislation. Check it out!
